Digital works contracts for construction projects
For awarding and processing fee and works contracts, GMZ was looking for a way to digitalise the entire tender process without media breaks and in an audit-proof manner. Today, the entire tender and contract process runs fully digitally in Microsoft Teams and SharePoint Online: from the call for tenders to the DocuSign signature and audit-proof archiving.

Paper contracts, manual quote comparisons and physical signatures
Fee and works contracts for construction projects were tendered, compared and signed on paper. Quotes had to be compared manually, draft contracts printed and, for every signature, physically passed through several parties — GMZ, project management and contractor. This was slow, error-prone and offered no end-to-end overview of status and history.

An end-to-end tender and contract process in Teams
With MECOSI, SoftForge developed a tailor-made SPFx application embedded directly as a Teams tab in the construction project workspaces. Tenders, bidder management and price comparison all take place in one location; draft contracts are generated automatically and signed digitally via DocuSign. Signed contracts and addenda are transferred to the D3 archive in an audit-proof manner — with a complete audit trail.
