MECOSI – Digital Work Contracts
Paperless tendering from the call for tenders to archiving
MECOSI is the bespoke application of the Genossenschaft Migros Zürich (GMZ) for handling fee and work contracts in construction projects entirely digitally. Since its launch in March 2022, around 750 fee and work contracts and up to 6,000 signatures have been processed paperlessly every year — directly in Microsoft Teams and SharePoint Online.
- Tender dashboard:
- A central overview of all calls for tenders per construction project — with status, bidders and direct access to all documents.
- Bidder management:
- Select, invite and manage bidders directly in the application — internal and external.
- Price comparison:
- Automated price comparison of the submitted offers for well-founded award decisions.
- Digital signature with DocuSign:
- Draft contracts are generated automatically and sent for digital signature via a DocuSign envelope.
- Teams integration:
- The application is embedded directly as a Teams tab in the construction project workspaces — no need to switch systems.
- Archiving in D3:
- Signed contracts are automatically archived in the d.velop D3 document management system.
- Supplements:
- Contract changes and additions are recorded in a structured way as supplements and approved digitally.
- Complete audit trail:
- Every action in the process is logged in the history panel — for complete transparency and compliance.
- Role-based access:
- Differentiated permissions for internal employees and external bidders, with Azure AD integration.

- Embedded directly in the Teams construction project workspace — tenders grouped by call for tenders, with status, amount and net price per bidder.
- The full process in one click:
- Invite, negotiate, approve, recommend, award and create the contract — all steps directly in the command bar.
Contract form with DocuSign integration
- Items and prices:
- Bill of quantities with all items, quantities, unit prices and discounts — the net total is calculated automatically.
- Digital signature directly in the process:
- The DocuSign envelope is generated and sent automatically. The status of each signatory (GMZ, project manager, contractor) is visible at all times.

The process at a glance
- 1Call for tenders
Project managers create a call for tenders in the dashboard and define the services to be awarded.
- 2Invite bidders
Suitable suppliers are selected from the central bidder directory and invited directly via the system.
- 3Quotes & price comparison
Incoming quotes are recorded in the system and automatically compared side by side.
- 4Award & recommendation
After internal approval and recommendation, the award decision is documented and released.
- 5Contract generation
Fee, works or purchase contracts are generated automatically from stored templates.
- 6Digital signature
The contract is sent as a DocuSign envelope — all parties sign digitally, without media breaks.
- 7Archiving
The signed contract is automatically archived in D3 and can be retrieved at any time in an audit-proof manner.

Every year, Migros Zürich concludes around 750 fee and work contracts for construction projects. With MECOSI, up to 6,000 signatures are handled digitally — without paper, without manual hand-offs and without media breaks. Since the full roll-out in April 2023, all the underlying work steps can be completed at the push of a button.
Technology
MECOSI is based on Microsoft 365 and fully integrated into GMZ’s existing infrastructure:
- SPFx (SharePoint Framework) with React and TypeScript for the contract dashboard and the contract form
- Microsoft Teams as the primary working environment — the app is embedded directly in the construction project teams
- Azure App Service for the onboarding back end (ASP.NET Core)
- Power Automate for approval flows
- DocuSign for the digital signature
- d.velop D3 for audit-proof archiving
- PnPjs and Office UI Fabric React as the development foundation
Development took over two years and was run on agile principles — in close collaboration with GMZ’s product owner and project managers and the SoftForge AG development team.
