Standardise property management processes in Microsoft 365
Coordinate service charge year-end workflows, rent reviews, lease variations and other recurring property processes — directly in Microsoft Teams and SharePoint.
SoftForge Checklists complements your existing property management and accounting systems. It manages the workflow; it does not calculate service charges or produce the accounts.
Property management processes repeat. Their documentation often does not.
- Spreadsheets and email chains
- Who has logged the meter readings? Have the service charge accounts been issued? The status is buried in inboxes and spreadsheets.
- Every property handled differently
- Without a shared template, the same handover runs slightly differently for every property manager.
- Deadlines and evidence
- Year-end deadlines, maintenance intervals and sign-offs have to be met and, if questioned, evidenced.
Organise tasks and manage recurring processes
- Excel & email
- Workflows and progress have to be coordinated manually.
- Planner / To Do
- Organise tasks and coordinate collaboration.
- SoftForge Checklists
- Start recurring workflows from defined process templates and track each process consistently across properties, leases and cases.

FAQ
Frequently asked questions
- Which property management processes suit SoftForge Checklists?
- Recurring workflows such as service charge year-end processes, parking space lettings, internal rent recharges and occupancy agreements, rent reviews and lease variations. Checklists manages the tasks; the accounts themselves are prepared in your existing property management or accounting system.
- Can I keep a separate checklist per property or lease?
- Yes. From one template you start a separate checklist for each property, lease or tenancy changeover. Custom metadata fields such as property, unit number or responsible person keep everything easy to find.
- Do tasks have to be completed in a fixed order?
- You decide per template. In sequential checklists the next task only unlocks once the previous one is done. Alternatively, tasks can be worked through in any order.
- Does our data stay in our own Microsoft 365 tenant?
- Yes. Checklists runs as an SPFx app entirely in your own tenant, on SharePoint Online or on-premises. Your data never leaves your Microsoft 365 tenant, and your existing permissions apply.
- Does Checklists replace our property management or accounting system?
