Which processes is SoftForge Checklists suited to?
Checklists is suited to any recurring process with clear tasks: employee onboarding and offboarding in HR, audits and compliance reviews, project kick-offs, customer onboarding or real estate processes such as preparing heating and service charge statements. You define a template once — and start as many checklists from it as you like.

Couldn’t I just do this in Planner?
For individual tasks or a one-off project, Planner is a good choice. Checklists, on the other hand, is designed for recurring processes with a fixed structure: you define a template once — including tasks, order and custom metadata fields such as department or start date — and start as many checklists from it as you like, without setting everything up from scratch each time. On top of that come sequential tasks that unlock one after another, and native embedding in Teams and SharePoint with your existing permissions — neither of which Planner offers.

What does “sequential checklist” mean?
In a sequential checklist, tasks unlock one after another: the next task can only be started once the previous one has been completed (or marked as “not required”). This is ideal for processes with a fixed order, such as onboarding. Alternatively, tasks can also be worked through in any order.

How quickly can I create a new checklist template?
The template wizard guides you through details, metadata fields and tasks in four steps. Tasks can be pasted in as a block using Smart Paste — from Word, Excel or an email — with automatic grouping and detection of optional steps. You have a reusable template within minutes.

What are custom metadata fields and what are they for?
Metadata fields are freely definable pieces of information that a checklist captures in addition — such as department, start date, owner or a link. You define a field once (text, choice, date, person, yes/no, link or taxonomy) and reuse it in as many templates as you like.

Does our data stay in our own Microsoft 365 environment?
Yes. Checklists runs as an SPFx app entirely within your own tenant — on SharePoint Online or on-premises. No information leaves your environment, and your existing permissions and compliance policies apply automatically.

Can everyone customise the view to their own taste?
Yes. Each person can individually choose their accent colour, the display density and their preferred view for lists and tasks (table, cards or board). These settings are personal and do not affect other users.
